Minutes of the General Body Meeting Held On 5-2-2018 at The Atria

Attended by:Owners at the Atria apartment

Mr.Sreekuttan gave the Welcome address

Mr.Roy Issac gave a brief on all the works undertaken at the Atria Society till date and the present status of all matters currently in progress and to be undertaken at the apartment on a priority basis.

Mr.Prabhapurayil presented in the meeting all financial accounts updated till Dec 31st,2017

Mr.Shaji Baby John handed over a further cheque of Rs.5,00,000 /-(Five Lakhs) to the new Association


Sl No and the points discussed in detail and to be implemented
1. It has been made clear to all owners that every owner will be a part of the association and accordingly all members were handed over the membership forms.Bye -laws were also distributed to all owners who were present at the meeting.

2. New Association will take over Accounts from Jan 1st, 2018 onwards.The copy of the last three years financial accounting summary was also circulated to all members present.

3. From March 2018 onwards-the maintenance amounts will be Rs.2500/- per month per apartment.

4. Maintenance amounts for the current month will have to be paid on/before the 10th of the same month ,failing which Rs.100 will be charged as fine and Rs.100 /- each for every month thereafter

5. In order to create the sinking fund for the apartment -the following was the decision taken:Every flat owner will have to pay Rs.15000/- to the Fund.It could be done as a one time payment/two time payment or even thrice.The deadline for the payment to the sinking fund has been kept as May 31st ,2018.

6. Every month-the Association will endeavour to put up the statement of accounts on the board

7. All the owners will be given the option to pay the maintenance dues via bank on line transfer to the Associations bank account number directly.He /She need not come in person to do the same.All owners who pay via cheque /on line transfers may please provide remittance details to the association for better account keeping.

8. Owners/Tenants may pay the maintenance amounts due vide cheque payment also.Cash payments are also allowed.

9. All maintenance fee defaulters(till December 2017) will be given further three months from the AGM date(5-2-2018) before which the owner should pay up the maintenance dues.All pending dues till Dec 2017 will have to cleared before May 10th ,2018

10 . It was presented to the members that on an average we have a certain fixed expense for running the society and it comes up to approximately Rs.1.5 lakhs per month.(Includes AMC and Salary for the employees).

11. If any owner wishes to pay the entire one year s maintenance subscription amount at one time-he will be given a relaxation of Rs.1000/-.That is if he wishes to pay for one year at one go ''Rs.2500*12=Rs.30,000/-,in this case-he has to pay Only Rs.29000/-

12. It was unanimously decided that we will have the swimming pool rennovated and it will be made operational. But on top of the expense agendas priority will be raising funds for the external apartments façade painting and renewal of all the existing AMC'S.

13. External façade painting will be done before the Onset of Monsoon in 2018.(This will be done keeping the funds in hand in mind)

14. The current sewage treatment plant and the water treatment plant will be inspected by the experts and fresh quotes to be sought to revive the same.

15. W.e.f Feb 6th,2018-all Owners must ensure and see that their FUTURE tenants will have to pay a caution deposit of Rs.5000/- to the society before the tenant moves into the apartment.This caution deposit fee will be utilised in case the tenant misuses the society's common areas/property.This Rs.5000/- is 100% refundable when the tenant vacates the apartment without any property loss/damage to the Atria society

16. All existing tenants who are currently residing in the apartment-in case they are going to over stay from April 1st,2018 onwards-they will have to pay the caution deposit as mentioned as above of Rs.5000/-.Same conditions-will be refunded upon clear vacating of the apartment.Owners will have to ensure this

17. All tenant must produce and submit a copy of their Identity proof to the care taker.Owners of existing tenants and future tenants -please ensure this

18. Door to the terrace will be kept under lock and key.Key will be available with the care taker.There will be register for the issue/return of the key

19. Mr.John Varghese will get an AMC quote for the GYM

20. The waste disposal Incinerator Machine will be made operational ASAP.

The meeting is to discuss the way forward in maintenance and upkeep of our Building and common amenities.

Ratification of the new Officials also is part of the agenda.

You may also collect your copy of the Bye-law from the Association Office.
